General information for exhibitors

Event locations:

Cowdray Park Polo Club is at Midhurst, West Sussex, just north of the South Downs. Postcode (for satnav purposes only) GU29 9AL

Guards Polo Club is within Windsor Great Park, Berkshire. Postcode for satnav purposes: TW20 0HP

Hurlingham Park is on Hurlingham Road, Fulham, London.

Stand locations
We send the stand plan to all exhibitors about a fortnight before the event, to create an ideal mix of exhibitors.
As we have no more than 100 exhibitors at even the largest of our events, there are no "dead alleys", and visitors get to see all the stands.

Special stand positions:
If you wish to guarantee a special location, such as:
* a corner site
* a "walk through" stand with frontage on two walkways
* a stand alone site with space on either on side
a minimum 20% premium will apply to the standard cost shown on the application forms.

Cancellation of stand bookings:

If any exhibitor books a stand and then cancels, the following cancellation fees apply:

Cancellation notified over 90 days before the event: 20% of fee.

Cancellation notified 90-30 days before the event: 50% of fee.

Cancellation notified less than 30 days before the event: 100% of fee.

Duration of events:
Most polo events are for one day only, usually a Sunday.

Set up times:
You may arrive to set up (early) in the morning of the show and leave in the evening, avoiding the expense of accommodation for staff.

Alternatively you may set up on the day before, or further in advance by prior arrangement.

Vehicle passes:
Exhibitors receive one or more vehicle passes (see Application Form for details of entitlement for each event): your staff do not need individual passes if they enter in a vehicle with a pass.

Parking of vans etc:
It is not normally possible to park any vehicle immediately behind your stand at these events, but the exhibitors's car park is usually no more than 2 minutes walk away. If you must have your vehicle next to your stand, you will need to rent the space for the vehicle as "bare space".

Exhibitor information:
An information pack with maps, passes, stand plan, etc, will be sent to exhibitors shortly before each event.
